4. Meet Details
1. Wednesday, May 17 (no alternate date)

5. Schedule
1. The schedule is attached and posted on the web.
2. The following instructions were outlined at the meeting:

ACTION: Coaches are to tell athletes to marshal field events within a reasonable time or have a second person marshal for them. Dual event athletes can compete at the beginning or end of a flight or round as they cannot jump/throw consecutively within the same flight or round. Athletes need to inform judges they are leaving the competition to go elsewhere.

6. Registration
1. A registration form is attached.
2. Deadline is Wednesday, May 10 at 5:00 pm.
3. ACTION: Coaches are to fax entries to Kent Hesterman at Cochrane High.
4. Each school may enter two competitors, plus an alternate, in each event and one team in the 4x100m relay.
5. An athlete may enter a maximum of four events – grade 9s can enter four events plus the relay.
6. Substitutions may be allowed for injuries or sickness, if verified by a coach and the substitute is not already registered in four events. The substitution must be registered as the alternate.
7. Where possible, top runners from each school will be entered into Heat 1 and second best runners in Heat

7. Eligibility

Reviewed handbook:
Juvenile: Grade 9 and under 17 as of September 1.
Junior: Under 16 as of September 1
Intermediate: Under 17 as of September 1
Senior: Under 19 as of September 1

8. Uniforms and Race Numbers
1. Athletes are to wear school colours.
2. Race numbers have been ordered and will be distributed the morning of the meet.

1. Distance and field events - numbers on front.
2. Other running events - numbers on the back.
3. RVSA will supply pins. ACTION: JM to buy 2000 pins and send to Cochrane.

9. Rules and Regulations

Track Rules & Regulations, Finish Line Judges and Timers and Field Rules & Regulations were circulated and can be found on the web.
One update was made to hurdles distances: All girls’ categories run 80m and all boys’ categories run for 100m. An updated Track Rules & Regulations is attached.

10. Officials Assignments

Assignments are attached and are the same as last year. Corner judges for the relay are a new addition.

11. Appeals Committee

At the morning coaches meeting, an appeals committee will be set up, consisting of three coaches from different schools, one alternate coach, both commissioners and the sports coordinator. As per the RVSA handbook, schools must register an appeal within 30 minutes of the completion of the event.

12. Set up and take down
1. Hurdles: all schools
2. Field events: officiating school and last group of athletes participating.
3. Garbage: all schools ACTION: JM to hand out garbage bags to coaches at the start of the relay events.

13. Equipment
1. High jump mats, standards and crossbar. ACTION: JM to confirm with Glenmore.
2. Shot puts, discus and javelin – RVSA has enough of each ACTION: JM to bring
3. Batons – ACTION: Schools are to bring their own.
4. Starter pistol, headphones and caps. ACTION: JM to order another pistol and 4-5 more boxes of caps.
5. Stop watches – ACTION: Cochrane to bring.
6. Measuring tapes – ACTION: JM to bring
7. Armband tape for marking athletes during 3000m. ACTION: JM to bring
8. Towels (three each) for field events if rainy and wet. ACTION: JM to bring
9. Clipboards – ACTION: JM to Blue Box over to Cochrane
10. Walkie Talkies and bull horn– ACTION: Cochrane to bring.

14. Results

Cochrane High will compile and distribute all results.

15. Awards
1. First through sixth place ribbons will be awarded on-site. ACTION: JM to send ribbons to Cochrane.
2. First-place medallions for individual aggregate winners and championship banner for school with highest aggregate total will be sent out in Blue Box following the event.

16. Substitute Teachers

Track & field sub code is: 1-230-300-000-47
1 to 35 ratio, to a maximum of 3.

17. Bussing

Track & field bussing code is: 1-533-300-000-47

18. League fees

$160 per school ($35 increase over last year).

19. Concession and DJ

ACTION: JM to confirm concession stand with Glenmore. There will be no DJ but we’ll have a microphone.

20. Volunteer Room

ACTION: JM to order pizza and drinks for 40 volunteers/coaches.

21. Physiotherapy

Dinos Sport Therapy has been booked for the meet.

22. Code of Conduct

Athletes, parents and coaches must sign Code of Conduct forms before the meet or they are not eligible to participate. Principals are to send their declarations to the sports coordinator prior to the meet.

23. Cell phone numbers

A coaches’ cell phone list was compiled in case there are any registration concerns/questions:

1. Top two athletes advance – need commitment right away
2. One 4x100m team and one 4x400m team per school.
3. Junior High – Golden Hills May 31 or June 7
4. High School – Rocky View May 24 (Glenmore Athletic Park)
5. ACTION: Cochrane to register Zone athletes in grades 10-12. JM to register grade 9 athletes.

25. Provincials

      June 2 and 3 at Foote Field in Edmonton

26. Other

Sandy Green mentioned that Rocky View is in rotation to host Junior High Zones next year – a problem when Rocky View runs middle school track in the fall.
