High School Track & Field Pre-season Meeting Minutes

  2. Commissioners
    Thanks to Sandy Green and Kent Hesterman for working as commissioners again this year.

  3. Meet Details
    Tuesday, May 15
    Glenmore Athletic Park
    10:00 am start
    This is a CBE rain-out date and therefore not a confirmed date for Rocky View. We do have a confirmed date for Wednesday, May 16 but this date conflicts with the grade 9 language arts achievement test. There is no rain out date booked either.

  4. Schedule
    Same as last year. Posted on the web.
    Action:
    Coaches are to remind athletes to marshal field events within a reasonable time or have a second person marshal for them. Dual event athletes can compete at the beginning or end of a flight or round as they cannot jump/throw consecutively within the same flight or round. Athletes need to inform judges they are leaving the competition to go elsewhere.

  5. Registration
    Coaches can dowload a registration form from the web.
    Action: Coaches are to register by Tuesday, May 8 at 5:00 pm (no later than Friday, May 11 at 9:00 am if you're competing in the U of C meet). Fax entries to Kent Hesterman at 932-5133.
    Each school may enter two competitors, plus an alternate, in each event, one team in the 4x100m relay and two teams in the 4x400m relay.
    An athlete may enter a maximum of four events – grade 9s can enter four events plus the relay (only grade 9s can enter five events).
    Substitutions may be allowed for injuries or sickness, if verified by a coach and the substitute is not already registered in four events. The substitution must be registered as the alternate.
    Where possible, top runners from each school will be entered into Heat 1 and second best runners in Heat 2.
    Action: Kent will fax/email schools for confirmation on Monday, May 14. Any changes must be in by 4:00 pm.

  6. Eligibility
    See Track & Field Handbook.
    Juvenile: Grade 9 and under 17 as of September 1.
    Junior: Under 16 as of September 1
    Intermediate: Under 17 as of September 1
    Senior: Under 19 as of September 1

  7. Uniforms and Race Numbers
    Athletes are to wear school colours.
    Race numbers will be distributed the morning of the meet.
    Distance and field events - numbers on front.
    Other running events (including relays) - numbers on the back.
    RVSA will supply pins. ACTION: JM to buy 2000 pins and send them to Cochrane.

  8. Rules and Regulations
    Track Rules & Regulations, Finish Line Judges and Timers and Field Rules & Regulations were circulated and can be found on the web.
    Clarification: The SCZ height for juvenile boys hurdles is 30" (76 cm).

  9. Officials Assignments
    Reviewed and updated assigments. See attached.
    Action: JM to confirm RVVS can supply a finish line judge and that Bert Church can work triple jump and high jump.

  10. Appeals Committee
    An appeals committee was formed: Graham Grant, Tim Bailey and Shane Hansen as well as both commissioners and the sports coordinator. As per the RVSA handbook, schools must register an appeal within 30 minutes of event results being posted.

  11. Set Up and Take Down
    Hurdles: all schools
    Field events: officiating school and last group of athletes participating.
    Garbage: all schools ACTION: JM to hand out garbage bags to coaches at the start of the relay events.

  12. Equipment
    High jump mats, standards and crossbar. ACTION: JM to confirm with Glenmore.
    Shot puts, discus and javelin – RVSA has enough of each ACTION: JM to bring (note: do not bring rubber practice discus)
    Batons – ACTION: Schools are to bring their own.
    Starter pistol, headphones and caps.
    Stop watches – ACTION: Cochrane to bring.
    Measuring tapes – ACTION: JM to bring
    Armband tape for marking athletes during 3000m. ACTION: KH to bring
    Towels (three each) for field events if rainy and wet. ACTION: JM to bring
    Clipboards – ACTION: JM to Blue Box over to Cochrane
    Walkie Talkies and bull horn– ACTION: JM to look at buying

  13. Results
    Cochrane High will compile results and JM will distribute and post on web.

  14. Awards
    First through sixth place ribbons will be awarded on-site. ACTION: JM to bring ribbons.
    First-place medallions for individual aggregate winners and championship banner for school with highest aggregate total will be sent out in Blue Box following the event.

  15. Substitute Teachers
    Track & field sub code is: 1-230-300-000-47
    1 to 35 ratio, to a maximum of 3.

  16. Busing
    Track & field busing code is: 1-533-300-000-47

  17. League Fees
    $180 per school ($20 increase over last year).

  18. Concession and DJ
    ACTION: JM to confirm concession stand with Glenmore. There will be no DJ but we’ll have a microphone.

  19. Volunteer Room
    ACTION: JM to order pizza and drinks for 40 volunteers/coaches.

  20. Physiotherapy
    Dinos Sport Therapy has been booked for the meet.

  21. Code of Conduct
    Action: Players and coaches are to sign Code of Conduct forms and submit to school administrator. This is to be done before your first game.

  23. Zones
    Senior Highl: Wednesday, May 23, Foothills Athletic Park, hosted by Rocky View
    Junior High: Wednesday, June 6, Glenmore Athletic Park, hosted by Rocky View (see Other)
    Top two athletes advance – need commitment right away at Divisionals.
    One 4x100m team and one 4x400m team per school.
    ACTION: Cochrane to register Zone athletes in grades 10-12. JM to register grade 9 athletes.

  24. Provincials
    Friday and Saturday, June 1 and 2 in Medicine Hat.

  25. Other
    Rocky View is up in the rotation to host the South Central Zone junior high track & field meet. JM has booked the date at Glenmore for June 6. No Rocky View school is willing to host and JM is trying to convince the Zone that we should be excluded from the rotation based on Rocky View's willingness to host the senior high Zone meet the past several years.

    One option that coaches discussed is to drop grade 9s from this year's Zone competition. This, however, begs the question of whether or not they will allow our grade 9s to compete inthe future. And does this still exclude us from hosting?

    The more desirable option is for the Zone to assign junior high hosting duties to another division.
    Action: JM to negotiate with Zone and see if they will move on it. If they won't then Rocky View has to formulate a position and present it at the May 8 SCZ meeting.

    Update: Okotoks Junior High will host the meet this year.
