Track & Field Pre-Season Meeting Minutes 2008-09

 

1.) Attendees – Tim Bailey, Springbank;

2.) Commissioner –Tim Bailey has volunteered for the position for the 2008-09 season

 

3.) Meet details: Tuesday May 12th

                           Glenmore Athletic Park 10:00 am start

                           No rain out date (Foothills is undergoing repair)

 

4.) Meet Schedule - same as previous year.  Link on the Rockyview sports website.

 

5.) Registration - Coaches to register by May 8th.  Must be emailed to Jacquie Mirtle.

- Each school may enter two competitors, plus an alternate, in each event, one team in the 

   4x100m relay and two teams in the 4x400m relay.
- An athlete may enter a maximum of four events – grade 9s can enter four events plus 

   the 4x400m relay (only grade 9s can enter five events).
- Substitutions may be allowed for injuries or sickness, if verified by a coach and the 

   substitute is not already registered in four events. The substitution must be registered as

   the alternate.
- Where possible, top runners from each school will be entered into Heat 1 and second

   best runners in Heat 2.

 

6.) Eligibility:

 

  Juvenile: Grade 9 and under 17 as of September 1

  Junior: Under 16 as of September 1

  Intermediate: Under 17 as of September 1

  Senior: Under 19 as of September 1

 

7.) Uniforms & Race numbers - 

 

- Athletes are to wear school colors.
- Race numbers will be distributed the morning of the meet. (JM trying to get from Gord's

  Running Store)
- Distance and field events - numbers on front.
- Other running events (including relays) - numbers on the back.
- RVSA will supply pins ACTION: To be purchased (Can be purchased @ Dollar Store)

 

8.) Rules & regulations – can be found on the web. Field events rules distributed

 

9.) Officials Assignments – Reviewed and updated. See attachment.  Do the Spartans

                                             require a starter?

 

10.) Appeals Committee – Commissioner (Tim Bailey), sports coordinator (Jacquie

                                           Mirtle), Kent Hesterman, Jason Scott, Sandy Green

 

 

11.) Set up and Take down –

 

- Hurdles – all schools

- Field events - officiating schools and last group of athletes

-Garbage - all schools (garbage bags to coaches at start of relays)

 ACTION- Will there be garbage collection by Glenmore Staff the day of the meet?  The 

 garbages get full during the day and then there is no empty garbage containers.

 

12.) Equipment –

 

- Shovels, rakes, and squeegees @ Glenmore ACTION: JM to confirm with Glenmore

- High jump mats, standards. ACTION: JM to confirm with Glenmore.
- Cross bar- Kent Hesterman to bring.
- Shot puts, discus and javelin. ACTION: JM to bring.
- Batons - Schools are to bring their own.
- Starter pistol, headphones and caps – Are the Spartans providing a starter gun and

  transducer? If Not- ACTION: JM to check inventory, order necessary caps and bring

  starting gun.
- Measuring tapes – ACTION: JM to bring
- 3000m. – We will run male & female age classes together so we don’t need armbands
- Towels (three each) for field events if rainy and wet. ACTION: JM to bring
- Clipboards –ACTION: JM to bring to meet
- Walkie Talkies and bull horn–Can borrow from media services - JM to check

 

13.) Results – Hy-tek meet manager. Jacquie to email out results

 

14.) Awards –

- First through sixth place ribbons will be awarded on-site.

MOTION by Sandy Green- Can we only give ribbons for 1st to 4th place as this is now

                 done by the zone (5th and 6th place ribbons never seem to get picked up).

-First-place medallions for individual aggregate winners and championship banner for

 school with highest aggregate total will be sent out in Blue Box following the event.

 

15.) Substitute Teachers – Track & field sub code is: 1-230-300-000-47
                                           1 to 35 ratio, to a maximum of 3.

 

16.) Busing – Track & field busing code is 1-533-300-000-47

 

17.) League fees- $5.00 per competitor

 

18.) Concession, PA, Trailer – ACTION: Jacquie to confirm concession and microphone

       @ Glenmore.

 

19.) Volunteer Room – ACTION: Jacquie to order pizza and drinks for

        volunteers/coaches (30?)

 

20.) Physiotherapy – Dinos Sports Therapy has been booked for the meet

 

21.) Code of Conduct – Players and Coaches to sign Code of Conduct forms and submit

       to school administrator

 

22.) Zones –

-Senior High Zones Wednesday May 27th @ Glenmore

-Top 2 finishers from Divisionals, one 4x100 and one 4x400 team per school (from 

  previous minutes)

MOTION by Sandy Green – If a school finishes 1st and 2nd with their 4x400m teams,

                 then both teams should be able to compete at Zones.

     (Calgary Zone is the host)
