Middle School Badminton Pre-season Meeting Minutes:

 

April 28, 2009

 

1.  Attendees:

2.  Event Details:

 

     Saturday, May 23, 2009

     University of Calgary (Red Gym= 10 Courts; Gold Gym= 6 Courts)

 

2.  Registration:

 

     Action: Coaches are to submit, via email, registration by Tuesday, May 19 (12 Noon) to Jacquie Mirtle and

                   Lawrence Lee.  

 

     Registration forms can be downloaded from the web. 

     Schools are allowed two entries per classification.  Students can play in only one category.

    

     Note: Last minute changes should be emailed to us (J.M. & L.L.) by Friday 12 Noon (May 22).

 

3.  Classifications and Categories:

 

     Boys Grade 7, Boys Grade 8

     Girls Grade7, Girls Grade 8

     Singles, Double, Mixed Doubles

 

4.  RVSA Handbook and Simplified Badminton Rules:

 

     See Middle School Simplified Badminton Rules Handout and Simplified New Rally Point Scoring System   

    Handouts were handed out to the coaches present at the meeting.

 

     Do we stay with the modified scoring that we used last year (up to 17 points, win by 2 and capped at 22)?

     Action: Group decided to stay with the modified scoring we used last year.

     Action:  Viewing Area in both gyms are limited.  Coaches to remind athletes to tell their parents/friends

     that they are “spectators” only and that coaching or making in/out calls from the sides are not permitted.

 

     Action:  Coaches to remind their players that BOTH teams are to report to the drawmaster table to record

                    scores.

 

5.  Draw & Result Sheets:

 

      Action: All draw sheets will be sent by email on Thursday, May 21 to the head drawmasters.  It will be the

      drawmaster’s responsibility to print off these sheets.  Also final results sheets need to emailed back to JM on the

      Monday following the tournament.

 

     ***Change of Action:  All draw sheets will be brought to the tournament by LL instead of getting the  

            drawmaster(s)  to bring them.  I will need help first thing in the morning to get the draw sheets posted  

            on the tables and on the walls outside the gym.

 

6.  Awards:

 

      There are gold, silver, and bronze medallions as well as fourth-place ribbons for all categories.  A Divisional

      championship banner is awarded to the school with the highest aggregate total.

 

      First Place = three points;       

      Second Place = two points;            

      Third Place =  one point

 

     Action:  Jacquie to give medallions and ribbons to Lawrence Lee and then will get drawmasters to give the

     awards out at the conclusion of the tournament.

 

7.  Dress Code: 

 

     School colours or solid white t-shirts without logos (except school logo).

 

     Action: Please remind your students that sweatpants and bandanas are not allowed.  Water is not allowed on the

     court.

 

     Action:  Would prefer that all schools supply similar tops (jerseys/shirts) so that coaches can identify

                    athletes from other schools a lot easier and that they will not be asked to switch their tops if it is

                    inappropriate.

 

8.  Shuttles:

      Yellow Yonex Mavis 300   Action: JM to give to Lawrence Lee.

 

9.  Drawmasters Checklists:

 

     The Drawmaster Checklist, Badminton Draw Templates and Record Sheets can be printed off the web.  It is the

     drawmaster’s responsibility to print off a copy of the checklist and draw templates and several copies of each

     record sheet.

 

      ***Change of Action:  Lawrence will make sure the Drawmaster Checklist, Draw Templates and Records

            Sheets are present for each gym.

 

10.  Players:

 

       A reminder that a player who misses the check-in will not play.  Also, games will not be moved up and players

       are not to ask for their games to be moved up.

 

       Players are required to play all their games in their pool and not withdrawing from the tournament because they

       have done the calculations and know that they will not qualify for playoffs.

 

11.  Playoffs:

 

       In order to avoid tie-breakers, Jacquie and Lawrence will create an even number of pools.  Play-off procedures

       are in the Drawmaster Checklist.

      ***Change of Action:  Due to the length of playoffs last year, the group has decided to modify the playoff

            format.

 

            Top four teams will still advance to the playoff round.  If there are four pools, the top player from

             each pool advances.  If there are two pools, then the top two players from each pool advances. 

 

            The next round consists of a one game (to 17 points, win by 2, capped at 22) to determine first, second,

            third, and fourth seeding. 

 

            Once players are ranked 1 through 4, competitors will play best-of-three matches (again to 17 points,

            win by 2, capped at 22) with the following format:

 

            1 vs. 2 (for gold/silver)

            3 vs. 4 (for bronze/4th place)

 

 

12.  Code of Conduct:

 

        Action: Athletes, parents, and coaches must sign Code of Conduct forms before the tournament or they are not

        eligible to participate. 

 

13.  Supervision:

 

        Facility is booked for 8:00 a.m. 

 

       Action:  Players need to be there no later than 8:30 a.m. for check-in, warmup, and directions for the day.

                     Coaches, if you can be there by 7:45 - 8:00 a.m. to help with set up of both gyms, that would be great.       

 

14.  Plug-in Fees:

 

       The cost per competitor last year was $2.50. 

 

      Action:  Jacquie will let us know what the cost is this year and invoice the schools when she is back.  Cost may 

                     be a bit higher since we have to pay for the gym rental.

 

15.  DrawMaster Duties:

 

       Do to the fact that not too many coaches were keen to spend all day running the tournament at the

       drawmaster table, it was decided on assigning schools for shifts, so that all schools would be responsible     

       to run the “show” for two shifts.  Lawrence Lee (grade 7 gym) and Mike MacMillan (grade 8

      Gym) will start off for the first 90 minutes to get everything running in the gyms.  Please see schedule

      below for your times.  Hopefully most schools will have two coaches attending the tournament so that you

      only have to do the drawmaster duties once.

 

       Lawrence to do the pre-tournament meeting with both grade 7 and 8 groups together at the start.  In the 

      mean time other coaches that are scheduled to assist during the shift may need to fix/change pool(s) if

      players do not show up (hopefully not).
