High School Track & Field Pre-season Meeting Minutes

- Commissioner
Position is vacant. The commissioner duties are not demanding. The commissioner basically advises on technical issues the day of the meet.

Action: Coaches are to remind athletes to marshal field events within a reasonable time or have a second person marshal for them. Dual event athletes can compete at the beginning or end of a flight or round as they cannot jump/throw consecutively within the same flight or round. Athletes need to inform judges they are leaving the competition to go elsewhere.
- Registration
Registration will be done online with Direct Athletics this year. JM will email out instructions.
Action: Coaches are to register by Monday, May 10 at 5:00 pm.
Each school may enter two competitors, plus an alternate, in each event, one team in the 4x100m relay and two teams in the 4x400m relay.
An athlete may enter a maximum of four events – grade 9s can enter four events plus the relay (only grade 9s can enter five events).
Substitutions may be allowed for injuries or sickness, if verified by a coach and the substitute is not already registered in four events. The substitution must be registered as the alternate.
Where possible, top runners from each school will be entered into Heat 1 and second best runners in Heat 2.

Juvenile: Grade 9 and under 17 as of September 1.
Junior: Under 16 as of September 1
Intermediate: Under 17 as of September 1
Senior: Under 19 as of September 1
- Uniforms and Race Numbers
Athletes are to wear school colours.
Race numbers will be distributed the morning of the meet. (JM to get from Gord's Running Store)
Distance and field events - numbers on front.
Other running events (including relays) - numbers on the back.
RVSA will supply pins.
- Rules and Regulations
Track Rules & Regulations, Finish Line Judges and Timers and Field Rules & Regulations were circulated and can be found on the web.
- Officials Assignments
Reviewed and updated assigments. See attached.
- Appeals Committee
The appeals committee consists of Esther Sieben, Shane Hanson and Tim Masse, as well as the commissioner and the sports coordinator. As per the RVSA handbook, schools must register an appeal within 30 minutes of event results being posted.

Note: As no one has volunteered to do these two jobs, we're going to go to a rotation for the above two assignments. The starter one year will be the track marshall the next year.

Finish Line Timers and Judges - Each school is to bring two people for the finish line. Note: At least one must be an adult.

Relay - Three coaches, to be determined before the event
- Set Up and Take Down
Hurdles: all schools
Field events: officiating school and last group of athletes participating.
Garbage: all schools ACTION: JM to hand out garbage bags to coaches at the start of the relay events.
We will also need to transport high jump equipment from George McDougall to the track. Action: M to arrange for a truck. Ryan Haggarty arrange some muscle.

Walkie Talkies and megaphone – JM to bring Update Megaphone is booked but walkie talkies not available through Media Services. Can we use Cochrane's?
Starting blocks - Cochrane, Springbank and Bert Church(?)
- Results
Will be done onsite. ACTION: JM to rent tent, bring laptops and a printer.
- Awards
First through fourth place ribbons will be awarded on-site. ACTION: JM to bring ribbons. Field event ribbons will be in clipboards so officiating school can present them immediately after the event.
First-place medallions for individual aggregate winners and championship banner for school with highest aggregate total will be sent out in Blue Box following the event.
- Substitute Teachers
Track & field sub code is: 1-230-300-000-47
1 to 35 ratio, to a maximum of 3.
- Busing
Track & field busing code is: 1-533-300-000-47
- League Fees
$5.00 per competitor. The group decided to keep entry fee at $5.00 so any surplus can be used to purchase equipment for next year, i.e. stop watches, starting blocks.

- Volunteer Room
ACTION: JM to order pizza and drinks for 40 volunteers/coaches.
- Physiotherapy
Dinos Sport Therapy has been booked for the meet.
- Code of Conduct
Action: Players and coaches are to sign Code of Conduct forms
and submit to school administrator. This is to be done before your first
game.
- Zones
Senior High: May 25 or 27, Glenmore Athletic Park (to be confirmed), hosted by Oyen
Junior High: Wednesday, June 2, Glenmore Athletic Park, hosted by Chinook's Edge
Top two athletes advance – need commitment right away at Divisionals.
One 4x100m team and one 4x400m team per school.
ACTION: JM to register all athletes for Zones.
- Provincials
Friday and Saturday, June 4 and 5 in Medicine Hat.
