Volleyball 2009-10 Pre-season Meeting Minutes

1. Welcome
2. Commissioner
Thank you very much to Tim Masse for serving as commissioner again this year.
3. Officials
Welcome to Jim Merrick from the Calgary Volleyball Officials Association. The group expressed concern about poor coverage last year and looked at how we can help improve coverage. Jim stated that the CVOA has increased their membership and will start the upcoming season better than last. Rocky View coaches said they may be able to provide clinic opportunties. Jim suggested contacting Jay at www.albertavolleyball.com.
Jim said he would get Jacquie access to the database to check on games each week. That would allow us to find refs ahead of time if it looks like the CVOA can't cover matches.
Few other points of note: 1) Monday is best for CVOA as far as rescheduling games and 2) the consequence for refs who don't show up is that they can no longer choose their own matches, and 3) Jim asked that coaches are aware of the AVA Behaviour Policy (click for link).
Coaches are to contact Joe Coffey at the CVOA for booking tournaments.
Update: In response to CBE offering to pay refs an increase of $6 per game ($45 up from $30), the CVOA is recommending an increase to our rate of $8 ($50 up from $42). This rate includes travel. 2009-10 plug-in fees will reflect this rate increase.
Reminder: Host schools are to provide trained linespeople.
4. Rules and Regulations
Coaches are to note a new South Central Zone eligibility rule that allows junior varsity basketball and volleyball players to now play an unlimited number of games with a senior varsity player. High schools are required to declare their rosters for both junior and senior varsity the Saturday before basketball and volleyball Zone competitions. Players may play in only one Zone tournament per sport per year.

The schedules reflect flipped home and home, games cycled down through dates and boys and girls start times switched half-way throught the season. Action: JM to post final drafts after Parameters meeting (June 3).
6. Divisional Championships
Springbank is up in the Divisional host rotation which poses a problem if we want to run the same play-off format as we did last year..
Motion:
Chelsea Somerville (George McDougall) moved that we hold the Divisional tournament over two days at the Volleydome in Calgary. Dave Banderk (Chestermere) seconded the motion.
Rationale: Last year our new play-off format of running the quarters on Friday and the semis and finals on Saturday required two gyms in close vicinity. As Springbank is up in the hosting rotation this year, we don’t have another gym close by we can use. Furthermore, the Volleydome is central and is obviously an excellent facility.
Coaches’ Vote: Motion unanimously passed, 6 in favour.
Update: Motion passed (with the ammendment - for the 209-10 season) through Parameters meeting June 2 so this year's tournament will be at the VolleyDome. The Dome has been booked.

8. Team Declaration
The ASAA registration deadline has been moved up to October 1. You can submit your roster to me at the same time. Reminder: All teams register on ExNet regardless of whether or not they intend to compete at provincials.
9. Results
Host school coaches are to immediately email match (and game) scores to Jacquie Mirtle.
10. Code of Conduct
Athletes, parents and coaches must sign Code of Conduct forms before the first league game or they are not eligible to participate. Principals are to send their declarations to the sports coordinator prior to the first league game.
11. Awards
Recipients will be determined at the post-season meeting so it's imperative that coaches attend or send a representative with their informaiton.

14. Other
Motion: Diana Stapor (WG Murdoch) moved that we split the senior girls divisional championship tournament into two tiers. Tim Masse (George McDougall) seconded the motion.
Rationale: The large skill disparity among senior girls teams makes the current play-off format disheartening for at least the bottom three teams in the league. Having a Tier 1 (top four teams) and a Tier 2 (bottom four teams) championship would give all teams a chance a winning a banner.
Coaches’ Vote: Motion unanimously passed, 6 in favour.
Update: Motion passed through Parameters on June 2. Please note that the group will have to determine top four and bottom four. All in attendance at Parameters felt pretty strongly that the fifth place team (at least) should have the opportunity to vie for that fourth Tier 1 spot. Bring forward: E-mail discussion in September.
