High School Track & Field Pre-season Meeting Minutes

  4. Schedule
    Please note:
    We moved the start of the 3000m up to 9:30 . Click this link for schedule. .
    Action:
    Coaches are to remind athletes to marshal field events within a reasonable time or have a second person marshal for them. Dual event athletes can compete at the beginning or end of a flight or round as they cannot jump/throw consecutively within the same flight or round. Athletes need to inform judges they are leaving the competition to go elsewhere.

  5. Registration
    Registration will be done online with Direct Athletics this year. JM will email out instructions.
    Action: Coaches are to register by Friday, May 13 at 5:00 pm. The registration system will be shut down after that. Any changes can be emailed to me by Monday at 5:00.
    Action: JM to email coaches registration lists to double check.
    Each school may enter two competitors, plus an alternate, in each event, one team in the 4x100m relay and two teams in the 4x400m relay.
    An athlete may enter a maximum of four events – grade 9s can enter four events plus the relay (only grade 9s can enter five events).
    Substitutions may be allowed for injuries or sickness, if verified by a coach and the substitute is not already registered in four events. The substitution must be registered as the alternate.

  6. Eligibility
    See Track & Field Handbook.
    Juvenile: Grade 9 and under 17 as of September 1.
    Junior: Under 16 as of September 1
    Intermediate: Under 17 as of September 1
    Senior: Under 19 as of September 1

  7. Uniforms and Race Numbers
    Athletes are to wear school colours.
    Race numbers will be distributed the morning of the meet. Note change from last year: Only track athletes will receive numbers.
    Distance events - numbers on front, dashes - numbers on the back.
    RVSA will supply pins.

  8. Rules and Regulations
    Track Rules & Regulations, Finish Line Judges and Timers and Field Rules & Regulations were circulated and can be found on the web.

  9. Appeals Committee
    The appeals committee consists of Shane Hansen, Mike Sera, and Tim Masse, as well as the commissioner and the sports coordinator. As per the RVSA handbook, schools must register an appeal within 30 minutes of event results being posted.

  10. Officials Assignments
    Starter and Track Marshall - We're going to pay for a sub/or pay an honourarium for these positions. People to approach: Bruce O'Neil and Earl Binder (Sandy), Doug Brennan (Jacquie), Jason (Mike Sera)
    Results - JM, Langdon, Chestermere Lake
    Information Tent - Beiseker
    Finish Line Timers and Judges - Each school is to bring two people for the finish line.
    Long Jump - Cochrane
    Triple Jump - Chestermere
    High Jump - Bert Church
    Discus - WG Murdoch, Airdrire Koinonia
    Shot Put - George McDougall
    Javelin - Bow Valley
    Starting Blocks - Springbank
    Relay - Three coaches, to be determined before the event

  11. Set Up and Take Down
    Hurdles: all schools
    Field events: officiating school and last group of athletes participating.
    Garbage: all schools ACTION: JM to hand out garbage bags to coaches at the start of the relay events.
    We will also need to transport high jump equipment from George McDougall to the track. Action: M to book MoveTek. Tim Masse to arrange help.

  12. Equipment
    High jump mats, standards - George McDougall
    Cross bar: George McDougall and Bert Church
    Shot puts, discus and javelin – RVSA has enough of each ACTION: JM to bring.
    Rakes - Bert Church
    Rings for throwing events - Bert Church
    Batons – Schools are to bring their own.
    Starter pistol, headphones and caps - JM to bring
    Stop watches – JM to purchase 10 really good ones
    Measuring tapes –JM to bring
    Coloured arm bands (three) for 3000m - JM to bring
    Towels (three each) for field events if rainy and wet - JM to bring
    Clipboards – J M to bring
    Megaphone – JM to bring
    Walkie Talkies - JM to purchase new batteries and/or units
    Starting blocks - Cochrane, Springbank and Bert Church(?)
    Clipboards, blank paper, list of runners for 3000m

  13. Fields
    Action: JM to book RVS Grounds to line. Sandy will provide correct dimensions.

  14. Results
    Will be done onsite. ACTION: JM to look into the possibility of renting an RV (from Western RV?) or getting one donated. Note: Due to FOIP, individual results cannot be posted on the web. All archives have been taken down. ACTION: JM to email last year's results to coaches.

  15. Awards
    First through fourth place ribbons will be awarded on-site. ACTION: JM to bring ribbons. Field event ribbons will be in clipboards so officiating school can present them immediately after the event.
    First-place medallions for individual aggregate winners and championship banner for school with highest aggregate total will be sent out in Blue Box following the event.

  16. Substitute Teachers
    Track & field sub code is: 1-230-300-000-47
    1 to 35 ratio, to a maximum of 3.

  17. Busing
    Track & field busing code is: 1-533-300-000-47

  18. League Fees
    $5.00 per competitor. The group decided to keep entry fee at $5.00 so any surplus can be used to purchase equipment for next year, i.e. stop watches, starting blocks.

  19. Concession, PA
    ACTION: JM to book the Weenie Queen
    ACTION: Bert Church to bring over and set up PA

  20. Volunteer Room
    ACTION: JM to order pizza and drinks for 40 volunteers/coaches.

  21. Physiotherapy
    Dinos Sport Therapy has been booked for the meet.

  22. Code of Conduct
    Action: Players and coaches are to sign Code of Conduct forms and submit to school administrator. This is to be done before your first game.

  23. Zones
    Senior High: May 25 Glenmore Athletic Park hosted by ??
    Junior High: June 1, Glenmore Athletic Park, hosted by ??
    Top two athletes advance – need commitment right away at Divisionals.
    One 4x100m team and one 4x400m team per school.
    ACTION: JM to register all athletes for Zones.

  24. Provincials
    Friday and Saturday, June 3 and 4 in Edmonton.
